An exciting opportunity exists for a Team Administrator whose job it will be to support the Careers and Education team with administrative tasks to strengthen the team initiatives and support IEMA membership growth. The role is responsible for undertaking a range of administrative support duties to ensure the smooth running of the team. This role is an early careers position and an excellent learning opportunity for somebody interested in developing their skills and career in events management, content, communications and stakeholder engagement with a focus on the environment and sustainability sector.

Key Responsibilities and Accountabilities

You will be responsible for the following activities;

Support with team events (online and in-person), to include the management, set-up, promotion and follow-up activity
Source speakers and writers for blogs/articles and events across the team
Help maintain and develop our university partnerships to grow IEMA’s student membership by running student onboarding webinars, auditing university websites and supporting the Senior Education Engagement Officer
Support with the management of the IEMA early-careers network (IEMA Futures), to ensure consistent delivery of excellent member value and content. Tasks will include communicating with IEMA volunteers and staff across different departments, drafting newsletters and adding regular content to the LinkedIn group
Review and add content to the IEMA, Green Careers Hub & Diverse Sustainability Initiatives websites through different content management systems (CMS)
Aid in the promotion of the team’s work via various channels, to include: drafting newsletter and email communications, scheduling relevant social media posts and creating bespoke presentations to support or potentially present at relevant events, such as talking to students about IEMA, or introducing green careers to college students.
Respond to external queries directed to the team
Add contacts, update and monitor relevant accounts for the team in our customer relationship management (CRM) system.
Support with external stakeholder meetings, ensuring that notes and actions are recorded accordingly.
Ad-hoc administrative support for projects across the team as required, which may include: planning and managing all aspects of the How-to series, running the annual Diverse Sustainability Initiative surveys & updating partner commitments and planning activity for Green Careers Week.

The Candidate

Qualifications & Experience:

Knowledge of administrative procedures and some previous administrative experience would be a distinct advantage.
Experience of delivering presentations to a small but diverse audience (this could be gained from within an educational setting).
Proven experience of working on different workstreams or projects concurrently.
Experience communicating with a variety of individuals, stakeholders, and customers, ideally both verbally and in writing.
Some experience undertaking research activities such as surveys, internet searches, and basic analysis (this could be gained from within an educational setting).
Some experience of using databases (such as customer databases or using MS Excel) would be advantageous.

Person Specification

You must have excellent organisational and administrative skills with the ability to prioritise tasks and keep calm under pressure. You must be able to work independently and use initiative whilst contributing as a strong team player to our small team of four. This role would suit someone who enjoys carrying out a variety of deadline driven tasks on multiple projects, likes dealing with customers and is technically comfortable using digital platforms.

Essential to this role;

Is someone who has good co-ordination and organisation skills and excellent attention to detail with the ability to consistently deliver on administrative tasks.
Has intermediate proficiency in Microsoft Office and Microsoft Teams and other digital platforms
Has the ability to work independently, be a strong team player, have proven experience of developing strong relationships and be able to communicate at all levels within the organisation and externally.
You must be a methodical worker who thrives on a busy workload, can work on your own initiative, is decisive and enjoys solving problems and can think on your feet. You must have a desire to produce high quality work, eagerness to learn and continuously think of improvements.

You will ideally also have an interest in sustainability as this is central to IEMA.

The practical details:

As this role is UK home-based it will be essential that you have reliable home broadband and the ability and motivation to work from home with reduced supervision but as part of a team. There will be the requirement to attend face-to-face events and also staff and team meetings at various UK locations. Candidates must therefore be based in the UK and be able to occasionally travel within the UK – all travel can be expensed.
