Reporting

Responsible for delivery to the Head of Project Management. Works closely with the Programme Director, Programme Manager and the project management team. Liaises and collaborates with the Product Owner, Data Services, Communications, Membership and Sales leaders and governance co-chairs.

Core responsibilities

Owning and overseeing the delivery of the Perseus project to time and scope requirements
Responsible for proactively following up all project activities and workstreams with workstream leads
Driving problem solving to find innovative solutions
Leading collaboration between teams including Data Services, Membership and Communications teams to work together to drive and meet deadlines and milestones
Ensuring all outputs are user-needs focussed and available in a manner that can be used in product development and productisation
Supporting and working with Heads of Project Management and Research, researchers, Advisory and Steering Group co-chairs and the technical team to meet deadlines and milestones
Contributing to and ensuring the successful delivery of IB1’s governance groups – Steering, Advisory and Working Groups of relevant projects (IB1 governance SOP)
Developing and maintaining key project documents, including the project plan, reference portals, reports, action / task logs, and backlogs, to ensure the project can be clearly conveyed and understood by the project team, the client stakeholder and leadership team
Supporting leadership team on roadmaps, planning, resource needs
Monitoring project performance, identifying and proactively mitigating risks
Defining and managing project scope, with confidence in negotiating client and team discussions relating to changing circumstances including effort, resource, time and quality

Additional Responsibilities

Reading and editing project documents and artefacts
Supporting the process of gaining stakeholder and user feedback
Supporting the presentation of research findings at advisory groups, webinars and external events
Participating in regular internal Show & Tells at the end of day on a Thursday
Ad-hoc support for the bid team in reviewing proposals
Contributing to project reports
Note taking for project meetings

Deliverables

Ensure the successful delivery of the project by:

Attending and contributing to daily stand up and show and tell meetings
Coordinating the internal team via weekly meetings and task follow-up, including agenda-setting and regular risk register review
Overseeing the successful delivery of Steering & Advisory Groups by supporting and following up with the team on meeting administration, including drafting and circulating agendas ahead of meetings, preparatory emails, follow up emails, task and list management
Following up activities for deliverables across internal teams and in conjunction with the AG co-chairs
Coordinating the completion of any final reports relating to the project
Inputting into upcoming project plan
Daily update of the project dashboard

Knowledge, Skills, Experience

Demonstrable experience of:

5 years demonstrable experience of complex project management
Excellent communication and writing skills
A proven track record of risk issue and change management
Strong experience in organising and planning detailed project activities
A can-do approach to working with multidisciplinary teams
Engaging people one-to-one effectively online and in person
Ability to summarise findings so that they can be understood by non-experts
Bringing together groups and individuals and uniting them with a common cause—via a range of face-to-face and virtual events, get-togethers, social media and communication forums
Using and applying Google Suite/Workspace, Slack, social media and other tools for working remotely and in the open.
